Managing inventory across multiple sales channels can be challenging. OTO INVENTORY simplifies this process with its Inventory Synchronization feature, which ensures that your inventory levels are consistent across all connected sales channels. This reduces the risk of overselling, underselling, or inventory errors.

What Is Inventory Synchronization?

Inventory Synchronization allows OTO INVENTORY to automatically send updated inventory levels to your sales channels whenever changes occur. It’s available for the following sales channels:

  • Zid

  • Magento

  • WooCommerce

  • Shopify

  • Salla

This feature helps you keep your sales channels in sync with your latest inventory data, making your operations smoother and more efficient.

How to Configure Inventory Synchronization

Here’s how to get started:

1. Access Sales Channel Settings

  • Go to the Sales Channels page from the OTO Dashboard.

  • Find the sales channel you want to configure.

  • Click the three dots next to it and select Inventory Sync Settings.

2. Set Up Inventory Sync

In the Inventory Sync Settings form, configure the following:

  • Inventory Calculate Method:

    • All Inventory: Syncs the total available inventory across all locations.

    • Min Inventory: Calculates inventory by deducting the minimum inventory level (safety stock) from the available quantity.

    • Magento-Specific Options:

      • Magento users can choose "All Inventory" or "Minimum Inventory" based on their preferences.

  • Inventory Update Method:

    • Real-Time Update: Sends inventory updates immediately after a change.

    • Bulk Inventory Update: Consolidates changes and updates inventory at scheduled intervals.

  • Multi-Location:

    • Enable this if you’re managing multiple warehouses or branches.

  • Pickup Locations:

    • Map your warehouses or branches to their respective sales channel locations.

    • Enter the Sales Channel Location ID and toggle "Location Active" for each location.

  • Click Save once you’ve configured all settings.

How Inventory Sync Works

Once configured, OTO INVENTORY automatically handles inventory updates for your sales channels. For example:

  • If a product’s inventory changes due to a sale, return, or inbound order, OTO will:

    1. Calculate the updated inventory using your chosen Inventory Calculate Method.

    2. Push the update to your sales channels using the selected Inventory Update Method.

For users who select the Min Inventory option, OTO calculates the available inventory by deducting the minimum inventory level you’ve set from the total quantity.

Monitoring Inventory Sync Activity

To monitor sync activity, use the System Logs:

  1. Navigate to System Logs under the Logs section.

  2. Open the Inventory Sync Logs tab to view details of all synchronization activities.

  3. The logs include:

    • Product SKU

    • Updated Quantity

    • Sales Channel Name

    • Sync Status (Success or Failed)

    • Error Definitions (for troubleshooting issues)

This feature ensures full transparency and allows you to quickly address any errors.

Best Practices for Inventory Synchronization

  1. Enable Synchronization Early: Set up synchronization when configuring OTO INVENTORY to avoid discrepancies later.

  2. Monitor Regularly: Use the Inventory Sync Logs to confirm successful updates and troubleshoot issues if needed.

  3. Real-Time Updates for High-Volume Operations: For businesses with frequent inventory changes, the Real-Time Update option ensures instant synchronization.

  4. Use the Min Inventory Option Carefully: This method helps protect your safety stock but ensures it’s accurately set in OTO INVENTORY.
