Outbound orders play a key role in keeping your warehouse organized and efficient. Whether you're handling Returns to Suppliers or Disposal operations, OTO makes it easy to manage and process outbound orders. Let’s guide you through how to create and process outbound orders effectively.
1. Creating an Outbound Order
Creating an outbound order in OTO is simple. Here’s how you can do it:
Step 1: Navigate to the Outbound Page
Go to Operations > Outbound on your dashboard.
Step 2: Click "Add Inventory Order"
Use the blue Add Inventory Order button in the top-right corner to get started.
Step 3: Fill Out the Order Form
In the outbound order form, you’ll need to provide the following details:
Type: Select the type of order (Return to Supplier or Disposal).
Order Date and Delivery Date: Specify when the order is created and when it should be completed.
Waybill Number: Add the reference or shipping document number.
Outgoing Warehouse:
If Bin Tracking is enabled, you can select the specific bins to pick items from.
Outgoing Responsible: Assign a responsible person for overseeing the order.
Description: Add notes to describe the order purpose, if necessary.
Step 4: Add Items
Enter the Product Name and Quantity for each item in the order.
For large orders, use the Import By Template option to quickly upload items via an Excel file.
Step 5: Click "Add"
Once everything is filled out, click Add to save your outbound order.
2. Actions Available for Outbound Orders
After creating your order, it will appear in the Outbound page listing. Here are some actions you can take:
Edit Order: Modify details of the order.
View Order: Review the full order and its status.
Assign Responsible: Update or assign someone in charge of the order.
Show Bin Transactions: View logs related to bin updates for this order.
Show Inventory Transactions: See changes to Inventory on Hand and Inventory Available.
Delete Order: Remove the order if it's no longer required.
3. How to Process Outbound Orders
Processing outbound orders differs slightly from inbound orders due to the picking process. Here’s how you can handle it:
Option 1: Pick and Complete Using OTO PACK Mobile App
For real-time warehouse operations, use the OTO PACK Mobile App to process outbound orders:
Open the app and go to the Outbound page.
Select the order and start the picking process.
The app will guide you to pick items from the specified bins (if Bin Tracking is enabled).
Confirm the completion of the order once picking is done.
What Happens:
Items are deducted from Bin Inventory and Inventory on Hand.
Inventory Available is also updated to reflect the changes.
Option 2: Update Inventory and Bin (Dashboard)
If you prefer to process the order directly from the dashboard:
Locate the order in the Outbound page.
Click Update Inventory and Bin from the actions menu.
What Happens:
Items are automatically picked and deducted from the specified bins (if Bin Tracking is enabled).
The order status is marked as Completed.
Inventory on Hand, Inventory Available, and Bin Inventory are updated accordingly.
4. How OTO Automatically Updates Inventory
OTO ensures your inventory is always accurate. Here’s how it works during outbound orders:
Inventory on Hand: Automatically decreases when an outbound order is processed.
Inventory Available: Adjusts simultaneously with Inventory on Hand to reflect sellable stock.
Bin Inventory: If Bin Tracking is active, the selected bins are updated during the picking process.
This automated system eliminates manual calculations, saving time and reducing errors.
5. Track Your Updates
Need to review your operations? OTO’s reporting tools have you covered. Go to Reports/OTO PACK to view:
Inventory Transactions: Logs all changes to Inventory on Hand and Inventory Available.
Bin Inventory Transactions: Tracks every update to bin quantities during outbound operations.
