Creating and Processing Inbound Orders

Inbound orders are essential for keeping your warehouse well-stocked and organized, whether you're handling purchases, replenishment, production, or customer returns. Let’s walk you through how to easily create and process inbound orders in OTO.

1. How to Create an Inbound Order

Creating an inbound order in OTO is simple and quick. Here’s how:

Step 1: Go to the Inbound Page

  • Navigate to Operations > Inbound on your dashboard.

Step 2: Click "Add Inventory Order"

  • Look for the blue Add Inventory Order button in the top-right corner.

Step 3: Fill in the Details

In the order form, you'll need to complete these fields:

  • Type: Choose the type of order (e.g., Purchase/Replenishment, Production, Return From Customer).

  • Order Date and Delivery Date: Specify when the order is created and expected to arrive.

  • Waybill Number: Add the shipment or waybill reference number.

  • Ingoing Warehouse or Branch:

    • If you select a warehouse and Bin Tracking is enabled, the Receive Location field will appear.

  • Ingoing Responsible: Assign someone to oversee the order.

  • Description: Add extra notes about the order if needed.

Step 4: Add Items

  • Use the Product Name and Quantity fields to list your items.

  • For larger orders, use the Import By Template option to upload items from an Excel file.

Step 5: Click "Add"

  • Once everything is filled out, click Add to save your order.

2. What You Can Do With Inbound Orders

After your order is created, you’ll see it listed on the Inbound page, where you can manage it. Here are your options:

  • Edit Order: Make changes to the order details.

  • View Order: Review the order’s contents and status.

  • Assign Responsible: Change or add the person responsible for this order.

  • Update Inventory and Bin: Automatically process the order (more on this below).

  • Show Transactions: See logs of inventory or bin updates related to the order.

  • Delete Order: Remove the order if it’s no longer needed.

3. How to Process Inbound Orders

Once your order is created, processing it updates your inventory automatically. Here’s how to do it:

Option 1: Update Inventory and Bin (Dashboard)

This is the easiest way to process orders directly from the dashboard.

  1. Find your order on the Inbound page.

  2. Click the Update Inventory and Bin option in the actions menu.

What Happens:

  • The order status changes to Completed.

  • All items are added to the warehouse with their pending quantities.

  • If Bin Tracking is enabled, the items are placed in the specified receive bin.

Option 2: Process Using the OTO PACK Mobile App

For real-time operations, you can process orders using the OTO PACK Mobile App.

  1. Open the app and navigate to the Inbound page.

  2. Select your order and follow the app prompts to confirm receipt.

What Happens:

  • Inventory is updated immediately.

  • For Bin Tracking users, items are placed in the selected receive bin in real-time.

4. How OTO Automatically Updates Inventory

OTO takes the hassle out of updating inventory. Here’s how it works:

  • Inventory on Hand: This reflects the physical stock in your warehouse or branch. It updates automatically when the order is completed.

  • Inventory Available: This shows the stock that’s ready to sell and adjusts at the same time as Inventory on Hand.

  • Bin Inventory: For clients using Bin Tracking, bin inventory is updated automatically when inbound orders are processed.

This means you can trust your system to stay accurate without manual intervention.

5. Keep Track of Everything

Want to see what’s been updated? OTO’s detailed logs have got you covered. Head to Reports/OTO PACK to view:

  • Inventory Transactions: See changes to Inventory on Hand and Inventory Available.

  • Bin Inventory Transactions: Review all updates to your bin inventory.
