Interdepot orders are essential for efficient inventory management across multiple warehouses or branches. OTO simplifies this process by seamlessly combining Outbound and Inbound operations. With OTO, transferring stock between locations becomes an organized and hassle-free experience.
1. What Are Interdepot Orders?
An Interdepot Order is a special type of inventory order used to transfer stock between warehouses or branches. The process involves two sequential steps:
Outbound Order: Items are dispatched from the source location.
Inbound Order: Items are received at the destination location.
2. Creating an Interdepot Order
Here’s how to initiate an Interdepot Order in OTO:
Step 1: Navigate to the Inbound Page
Go to Operations > Inbound and click on the blue Add Inventory Order button.
Step 2: Fill Out the Order Form
In the Add Inventory Order form, select the following:
Type: Choose Interdepot as the order type.
Order Date and Delivery Date: Specify when the transfer is initiated and expected to complete.
Waybill Number: Add a unique identifier for tracking purposes.
Outgoing Warehouse: Select the source warehouse.
Incoming Warehouse: Select the destination warehouse.
Outgoing Responsible: Assign a responsible person for the outbound process.
Incoming Responsible: Assign a responsible person for the inbound process.
Description: Provide details about the transfer.
Order Items: Enter the Product Name and Quantity for each item to be transferred.
For large transfers, use the Import by Template option to upload items via an Excel file.
Step 3: Click "Add"
After filling out all details, click Add to save the interdepot order.
3. Managing Interdepot Orders
Once an interdepot order is created, it splits into two distinct operations:
Step 1: Outbound Order
The outbound order appears in the Outbound page.
This order represents the transfer of items from the source location.
Step 2: Inbound Order
The inbound order becomes visible in the Inbound page only after the outbound order is completed.
This order reflects the receipt of items at the destination location.
4. Processing Interdepot Orders
Option 1: Processing from the Dashboard
If you prefer to process the entire order in one go:
Go to the Outbound page.
Select the interdepot outbound order.
Click Update Inventory and Bin from the actions menu.
What Happens:
Both the Outbound and Inbound orders are processed automatically.
Inventory updates are applied simultaneously to the source and destination locations.
Option 2: Processing from OTO PACK Mobile App
For real-time operations, the mobile app requires sequential processing:
Step 1: Process the Outbound Order
Open the app and navigate to the Outbound page.
Select the outbound order and complete the picking and shipment steps.
Items are deducted from Bin Inventory and Inventory on Hand at the source location.
Step 2: Process the Inbound Order
Once the outbound order is marked as completed, the inbound order becomes available in the Inbound page.
Process the inbound order by receiving and allocating items to bins (if Bin Tracking is enabled) at the destination location.
Inventory is added to the Bin Inventory, Inventory on Hand, and Inventory Available at the destination.
5. How OTO Automatically Updates Inventory
During interdepot operations, OTO handles inventory updates seamlessly:
At the Source Location:
Bin Inventory and Inventory on Hand decrease after the outbound order is completed.
Inventory Available adjusts accordingly.
At the Destination Location:
Bin Inventory, Inventory on Hand, and Inventory Available increase after the inbound order is completed.
This ensures your inventory data is always accurate, no matter how complex the transfer.
6. Tracking Your Interdepot Operations
To review your interdepot transfers, use the reporting tools in OTO:
Inventory Transactions: Logs all changes to Inventory on Hand and Inventory Available.
Bin Inventory Transactions: Records updates to bin-level inventory during interdepot operations.
Access these reports in the Reports/OTO PACK section to maintain complete visibility over your stock movements.
