The inventory import feature is primarily used during onboarding to upload a large volume of records effortlessly. It’s not designed as a daily operation but rather a one-time or occasional process. Its advantage lies in its simplicity—an organized Excel file can manage thousands of records seamlessly. For minor adjustments or fixes, Inventory Orders can be utilized.
Understanding Inventory Types in OTO
OTO categorizes inventory into two distinct types:
Quantity On Hand:
Represents the physical amount of stock present in the warehouse or branch.
Adjusted directly through inventory imports.
Quantity Available:
Reflects the sellable inventory, calculated by deducting the quantities of not-yet-finalized orders from the Quantity On Hand.
Needs to be recalculated after importing inventory to ensure accuracy.
Steps for Importing Inventory
Navigate to the Import Interface:
Go to the Inventory Page and click the Upload Data button at the top-right corner.
Alternatively, access the Data Center in Settings > Advanced, and select Inventory Import.
Download the Template:
Always download the provided template file before uploading. This ensures compatibility with OTO’s format.
The field pickupLocationCode refers to:
Warehouse Code for Warehouses
Branch Code for Branches
Fill in the Template:
Input details into the Excel sheet:
pickupLocationCode: Warehouse/Branch identifier.
SKU: Product identifier.
Quantity: Physical stock amount.
Save the file in XLS or XLSX format.
Upload the Template:
Drag and drop the filled file into the upload area or browse for the file.
Add a description if necessary, such as “Initial Inventory Update.”
Submit and Verify:
Click Upload File to initiate the import.
Check the Data Center to verify the upload status, and download the result file for detailed error logs if needed.
Recalculate Quantity Available:
After importing, it is strongly recommended to run the Update Quantity Available action from the Inventory Page. This will align the sellable stock based on the newly imported physical stock.
